2019 Fulfillment Update & Final Rolling Tile Photos

Hey everyone!

We wanted to check in and give you an update on how fulfillment is going. Let's dive right in!


Fulfillment

As we continue to ship orders, we've restructured fulfillment a bit to ensure we can get all the orders out in a timely fashion, as quickly as possible. Due to the complexity in some of the larger RTD orders, we're pivoting to produce these orders as product runs, rather than filling them as we're able based on inventory. This should have two positive effects - first, it ensures these orders are 100% filled and ready to ship when the run is complete, and second, pulling the specific, rare woods for these orders will not jam up all of the smaller orders that need those same pieces.

Obviously, fulfillment for this campaign is a very complex beast, but we're charging on and we do believe we will meet our currently stated goal of having all 2019 pledges mailed to arrive for the holidays.



Wyrmwood Kickstarter Policy Change

Our recent projects, while all successfully completed and fulfilled, have had some delays in fulfillment. While this is typical on Kickstarter, where you're going from a concept to producing in massive numbers, it falls short of the standards we set for ourselves.

As a result, beginning with this project and extending to all projects moving forward, we'll be issuing $25 WyrmwoodGaming.com gift certificates to any backers whose shipping date falls outside of estimates. In practical terms, this means that all 2019 backers of this campaign will be receiving these. Most will receive these digitally, though a small number are getting physical gift cards packed with their pledge. These will be issued beginning next week, so be on the lookout!

This update was done to strengthen the design, and allow us to use the same magnets in the Rolling Tile as in all others, rather than the less secure alternative we used in the prototype. November: Shipping Progress & Details

Hello everyone!

As we near the mid-point of November, we've shifted our process somewhat and have some solid information for you, which we know you've been waiting for!  Let's dive right in.

First, the bad news: we're still shipping out October pledges, as you're no doubt aware. October production is 100% complete at this point, so it's purely pulling and shipping. Getting some systems in place and solid procedures for pulling some orders took longer than anticipated, but we've got those issues ironed out and have some solid systems in place now. November fulfillment is being queued up, but not yet begun in earnest.

While we always do our best to anticipate the demands of fulfillment, you never know the weak points in a system until you actually start using it, which made us need to revise things during the October fulfillment.  The stress points we're discussing, some of you already know from the comments, but we'll give more details below.  For those of you just interested in the bottom line, feel free to skip over this section to "When Will I Get My Stuff?" below. For those of you interested in the nitty gritty, read on.



Fulfillment Pain Points - The Details

  • Custom Coaster Engravings: Properly processing and ensuring accuracy on orders with art coasters or Devin Rue coasters posed some difficulty.
  • Large Roll The Dice orders: RTD was different in this campaign than in any prior one we've run. Instead of assembling matched sets, we guaranteed that NO RTD items would match (up to the maximum number of woods available in RTD, of course).  There were a higher-than-anticipated number of orders with large quantities of RTD, and while our production can handle that, a method for prioritizing and pulling these orders needed to get worked out. In every other wave, these orders will be pulled out and filled at the top of the RTD priority list, so that we can get the most challenging orders out first.
  • Shipping: Fulfillment for Tabletop Tiles is inherently complex and difficult, and pulling these orders is a much more painstaking process than standard orders, especially when RTD enters into it.  This makes shipping them slower than standard orders.  As a result, we've had to alter our shipping department to devote more resources to the fulfillment of this project than anticipated.  Specifically, we've got a full-time shipper (our primary shipping employee) working full-time on Tabletop Tiles shipping, with additional labor pitching in to take on the more routine website shipping. We always scale up our shipping department for the holidays, but we've done so earlier than planned this year to keep this project moving.


When Will I Get My Stuff?

Okay, so the important information: as stated in the last update, ALL October and November tier pledges will be shipped in time for Christmas this year.  As November pledges wind up, there may be some October stragglers still due, and November pledges will certainly be shipped into December, as well, so it's hard to give hard and fast rules about when October will be 100% shipped, but we are holding the line that all 2019 pledges will be shipped in 2019.

At this point, we have ~175 pledges remaining to ship in October, almost exclusively RTD and custom engravings. November is being queued up and prepared now, and production for the November pledges is ~75% complete.  This is just an estimate, as it can be difficult to determine the precise figure given Roll The Dice in October still being outstanding.  However, our production is proceeding well.

If you're curious about our rate of production, at present we are producing six runs of 30-50 Tiles per day.  The run size varies, but daily Tabletop Tile production is about 180-300 units.  Meaning we are consistently producing 900-1,500 Tabletop Tiles per week at present. So any adjustments are less about raw production power and more about laser focusing on the right wood mix and specific Tiles needed for given orders, which we continue to do as needed to plug any holes in inventory. This continues to be a logistical challenge with Roll The Dice especially, but we're focusing on it and will continue to improve throughout fulfillment.

State of October Production & Shipping, Fulfillment Notes, Dice Dungeon Update

Hello everyone!

As the end of the month nears, we wanted to give everyone an update on how fulfillment is proceeding and what our expectations are as we head into the end of October.

At this time, we have approximately 250 orders in various stages of shipping (packed and waiting on an item, shipped, etc).  As of this moment, ~170 orders have gone out the door, with the remainder in the process of being labeled or being packed. We are continuing to ship daily as completed Tiles arrive in inventory from the production floor.

Obviously, this count is short of where we expected and hoped to be at this point in the month, and it looks like the remaining shipments will bleed into November. For a deeper dive into our production numbers and revised delivery timeline, read on.




Production numbers

Looking over our inventory with what is outstanding, we can report that approximately 80% of the October production is complete, and in the process of being shipped. Of the remainder, 10-15% is on the production floor right now, and will be done within the next production cycle (6 days).  The final 5-10% will be complete in no more than 2 weeks, at which time October will be fully shipped out and completely fulfilled.

We will begin shipping November pledges at that point, and we expect the November production and shipment to extend into December.  ALL pledges slated for 2019 delivery WILL arrive before Christmas of this year.

Once all of November has been shipped, fulfillment will be concluded for 2019, but production will continue.  We left December out of the fulfillment calendar to allow us to deal with our holiday orders and catch up on the January production, but there will be no break in production on the Kickstarter.  After the holidays conclude, we'll ship out January orders as quickly as possible, and focus entirely on catching up and staying on target for the remainder of fulfillment.

Additional labor has been brought in to help us to catch up and get to where we need to be. This labor is intended to be seasonal, but if necessary, we will retain some help into 2020 to ensure that Tabletop Tiles production is on track.

From this point on, all updates will include statistics and hard numbers on shipping progress to allow you to chart the progress, and you can expect an update at a minimum of every 2 weeks with this basic information.



BackerKit Orders: Deven Rue Coasters

As we fulfill orders, we've noticed a bit of an issue with some of them; namely, some backers have placed orders for the Deven Rue coasters, and requested they be added to Tabletop Tiles that do not have coasters on them!

During the campaign, we specified that the Rolling Tile and Tile of Shame would NOT have coasters on the underside; these designs were unsuitable for the additional removal of material required.  As such, we cannot apply these coasters to these Tiles, and any order containing a request for a coaster applied to one of these Tiles will be adjusted in the following manner:

  • The Coaster add-on will be cancelled from your order
  • The cost of the invalid add-on will be refunded to your Kickstarter pledge or BackerKit order
  • The remainder of your order, including all ordered Tabletop Tiles, will be fulfilled

We apologize for any confusion - please message us if you have any questions regarding your pledge.

Note that this change only affects the small subset of backers that requested the coasters on those specific Tile designs - all others are unaffected.




Dice Dungeon

Lastly, we have a bit of news to share regarding the Dice Dungeon.  The final design will differ in some key ways from the initial design.  Unfortunately, this was not communicated earlier due to an internal miscommunication.

  • The Dice Dungeon design does NOT have an integrated coaster on the underside; this was deliberately left off to avoid the spill risk of an elevated coaster.
  • Due to the placement of the bars, the Dice Dungeon does not include magnets to be magnetically connected to other Tabletop Tiles.  The sizing is consistent with Tiles, so it can sit next to them or be nested into an open slot with others, but the magnets were unable to be installed without shifting the bars inward, creating less capacity.
  • The number of bars has been significantly increased, to prevent smaller dice like d4s from escaping.

Overall, we don't anticipate this change impacting many backers negatively, but we do recognize that some backers have ordered the Dice Dungeon with text engravings, or custom Deven Rue coasters applied.

In those cases, we will be adding a complimentary Solo Tile to your order, that will include the requested coaster or engraving, in a matching wood to your Dice Dungeon.

In addition, a random complimentary set of polyhedral dice will be added to any pledge including a Dice Dungeon, as a thank you for your understanding regarding these changes.  We certainly did not intend to misrepresent the design, but the nature of Kickstarter sometimes demands that the final product differ from the original plan.  We apologize for not communicating the changes sooner.

Fulfillment Update, Halloween Project & More!

Hello everyone!


We're just checking in with a quick update on fulfillment progress.  As you're of course aware, October is in full swing, and we're shipping out Tabletop Tile pledges.  As of this writing, we're about 20% shipped with the tier.  This may seem low, but bear in mind as production wraps on October, we'll be ramping up the rate of shipping, and it will naturally increase towards the end of the month.

There is a possibility the shipping bleeds into the beginning of November, and we'll keep everyone posted on that as the end of the month looms, but for now, we're optimistic and continuing to ship.  It's also worth noting that traditionally, we ship rewards at the tail end of each fulfillment month, so we're well ahead of where we historically have begun in terms of fulfillment. :)

Once shipping for October completes, of course we'll forge ahead right into November fulfillment, as well.

After that, we'll be pivoting most of our focus as a company to the holidays for December - you'll note that we did not include a December reward level - however, production on Tabletop Tiles will not cease, so we'll be able to hit January fulfillment hard once the dust clears!

October Fulfillment Beginning Soon - Update Your Address ASAP!

Hey everyone!


With September nearly done, we're checking in with an update prior to beginning fulfillment in October.  We wanted to share some information regarding how the production is going.  For those of you purely interested in fulfillment details, you can scroll down to "Fulfillment Update" below. :)

Production Information

At this stage, production is proceeding well and at a rate of 700-750 Tabletop Tiles per week.  While these numbers are strong, it's not to say production has been completely free of issues:

  • A sourcing problem has led to some delay in production this week, due to a supplier failing to provide a vital part.  This is a temporary issue, and not a sign of a permanent problem, but we're still actively and aggressively seeking an alternative provider, in case it happens again.
  • Two varieties of Tabletop Tiles - the Rolling Tile and the Dice Dungeon - have not entered production at present.  The nature of these has required a bit more development time, so we've been finalizing those details while we produce the others.  We don't expect any serious issues in production once they begin rolling out.
  • Production for all other Tiles needed for October fulfillment is roughly 75% complete as of this writing.

Okay, those are the problems, but what about the good news?  We're glad you asked:

  • At this rate, we project October production wrapping up in 2-3 weeks, giving us roughly two weeks to complete shipping with all of October production done.
  • At that point, production will shift to November targets immediately.
  • Since we always overproduce at least slightly, to account for pieces that don't make the cut at quality control (or fail sometime before that for any reason) - when we complete October production, there will be overage for many SKUs.  This will give us a headstart on November.

To clarify that last point a bit, an example: we need 224 Black Walnut Solo Tiles for October.  We have actually have already produced that amount, and in fact have exceeded it.  Those extra Black Walnut Solo Tiles will go towards November fulfillment, lowering our overall build needs to complete November.  The same thing should happen in every successive tier.

We don't have statistics on exactly how much overage there is, since we're laser focusing on October numbers, but the key is that this first delivery tier will be the hardest one to complete.  Each successive tier will get easier and easier, due to this rolling overage.

Fulfillment Update

So that's our production news.  Let's talk about the elephant in the room: fulfillment itself!  With October nearly here, we're at long last preparing to begin shipping orders.  As such, we're going ahead and sending out the 48 hour warning via BackerKit to those in the earliest delivery tiers (October, Add-On Only) to update your shipping address if necessary.

After that point, shipping addresses will be LOCKED and your order will be officially ready for fulfillment.

You should be notified when your order ships, and receive tracking information via email.  Our plan is to begin to ship pledges next week, but the number shipped out weekly will ramp up as the month goes on and we wrap up all needed production for the tier, as discussed above.  We're also basing the fulfillment order purely on availability, due to the sheer volume of SKUs - as such, we can't share much in the way of useful information on when a given order is likely to ship.  So please hold any inquiries as to when your order will be on its way until the close of the month.  We're going to be shipping as much as we can, as fast as we can.  Due to the staggered production and the later finalizing of the Dice Dungeon and Rolling Tile, it's safe to say pledges containing these will begin shipping later than the others, but we nonetheless anticipate all Wave 1 orders shipping during the month of October, as planned.

Current Step: Final Development, Pre-Production and Production

Development and pre-production are  nearly complete, and production is in progress.

One note - we've updated the timeline a bit to correct a bit of an error; specifically, development and pre-production being in the same category as production.  While all of these processes have been occuring during that window, production will continue throughout fulfillment, while the development and pre-production will be wrapping up shortly.  We want the timeline to be accurate, so we've adjusted it to reflect this.  This does not represent an actual change in the plan of attack; as stated above,  October fulfillment is due to begin next week!
